Head of Finance and Administration – Job Description
About the Role:
The Head of Finance and Administration is a critical leadership position responsible for overseeing all financial and administrative operations of the organization. This role ensures the organization’s financial health, efficiency, and compliance with all applicable regulations. The ideal candidate will be a highly experienced, strategic, and hands-on leader with a proven track record of success in financial management, administrative oversight, and team leadership.
Key Responsibilities:
* Financial Management: * Develop and manage the annual budget, ensuring alignment with strategic goals. * Oversee all accounting functions, including accounts payable, accounts receivable, general ledger, and payroll. * Prepare and analyze financial statements, providing insightful reports to senior management. * Develop and implement financial policies and procedures to ensure accuracy, efficiency, and internal control. * Manage cash flow, investments, and banking relationships. * Conduct financial forecasting and modeling to support strategic decision-making. * Oversee audits and ensure compliance with accounting standards and regulations. * Administration: * Manage the organization’s administrative functions, including facilities, procurement, and office management. * Develop and implement administrative policies and procedures to ensure efficiency and effectiveness. * Oversee vendor relationships and negotiate contracts. * Ensure compliance with all relevant legal and regulatory requirements related to administration. * Manage insurance policies and risk management programs. * Team Leadership: * Lead and manage the finance and administration team, providing guidance, mentoring, and performance feedback. * Foster a positive and collaborative work environment. * Recruit, train, and develop team members to ensure a high level of competence and performance. * Delegate tasks effectively and empower team members to take ownership of their responsibilities. * Strategic Planning: * Participate in strategic planning initiatives, providing financial and administrative input. * Identify opportunities for process improvement and cost reduction. * Contribute to the development of long-term financial and administrative strategies. * Stay abreast of industry trends and best practices. * Compliance & Reporting: * Ensure timely and accurate filing of all required financial reports and tax returns. * Maintain compliance with all applicable laws, regulations, and accounting standards. * Manage relationships with external auditors and regulatory agencies.
Qualifications:
* Bachelor’s degree in Accounting, Finance, or a related field; Master’s degree preferred. * CPA or equivalent certification required. * Minimum of 10 years of progressive experience in finance and administration, with at least 5 years in a leadership role. * Strong understanding of accounting principles, financial reporting, and internal controls. * Experience managing budgets, forecasting, and financial analysis. * Proven ability to lead and manage a team. * Excellent communication, interpersonal, and presentation skills. * Proficiency in financial software and Microsoft Office Suite. * Experience with [Specific Industry Software/Systems – e.g., NetSuite, SAP] is a plus. * Strong analytical and problem-solving skills.
